🔧 Pre-Migration Preparation

You will receive access to a staging (parallel) NextGen environment about one week before your migration. During this period, we ask your team to log in to the staging environment, validate applications and workflows, and confirm expected functionality. This preparation helps ensure a smooth transition at cutover.
Yes. Our team can provide a live walkthrough of the NextGen platform so your administrators can review the updated interface and capabilities before migration.

📅 Migration Timing & Scheduling

Yes. You may provide preferred migration windows, and we will work with you to align the schedule as closely as possible.
The migration follows a structured approach that includes staging environment provisioning (about one week prior), a customer validation period, a scheduled cutover, and a DNS-based transition to NextGen. This phased approach is designed to reduce risk and minimize disruption.

⏱️ Downtime & Cutover

The process is designed to minimize downtime. Your current environment remains fully operational during staging, the transition is completed via a coordinated DNS cutover, and any service interruption is expected to be brief.
Yes. Users will have to be logged out when the DNS cutover occurs; however, users continue using the existing system during validation, and after cutover, access transitions seamlessly to NextGen.

👥 User Impact & Experience

Students and faculty will see minimal changes consisting of an updated interface, while administrators will experience a more modern, responsive UI with improved usability.
Most end users will not require formal training. Administrators may benefit from a brief walkthrough to become familiar with the updated interface and workflows. Webinars will be available.

🔐 Security & Compliance

NextGen maintains enterprise-grade protections. Data is encrypted at rest, hosted in secure regional infrastructure, and databases are accessible only by internal systems.
No. NextGen maintains compliance with FERPA and SOC2 standards, and the migration does not change these commitments.

🔗 SSO & Integrations

Yes. Existing SSO configurations are migrated as part of the process. Some environments may require validation or minor updates during testing, and our team will support you as needed.
Core LMS integrations are preserved. In some rare cases, configuration endpoints or launch URLs may need updates, and our team will guide you through any required changes during validation.
In most cases, no integration changes are required before migration. Any necessary updates will be identified and coordinated during the validation period.

📊 Features & Platform Changes

NextGen maintains your core functionality while adding performance and usability enhancements. Some features may be enhanced or deprecated, and any differences will be clearly communicated before and during migration.

🤖 AI Features & Data Usage

Only Portia (the AI assistant) remains enabled if it is already in use in your current environment. Other AI capabilities are not enabled by default and are offered separately.
AI features will only learn from your data if your organization explicitly opts into that functionality. Student data is never used for learning.
No. Apporto does not use or retain student data for training AI models and continues to adhere to FERPA and SOC2 requirements.
Yes. AI features are controlled via feature flags and can be enabled or disabled on request at the organization level.
